How to take a schedule of condition
Welcome to our guide on taking a Schedule of Condition. A schedule of condition serves as a cornerstone in the Party Wall process, ensuring clarity and fairness for all parties involved in a building project. With a bit of guidance and attention to detail, you'll be well on your way to creating a thorough Schedule of Condition.
What is a Schedule of Condition?
A Schedule of Condition is a detailed record of the current state of a property, typically accompanied by written descriptions and photographic evidence. This document provides an objective snapshot of the property's condition prior to any building work commencing, offering a point of reference for comparison should disputes arise later.
Step 1: Preparation
- Gather necessary tools: Equip yourself with a good quality camera (or smartphone with a camera) a tape measure and a notepad for written descriptions.
- Arranging access: It can be good for you and your neighbour to take the schedule of condition together to ensure there are no disagreements later. Arrange a time to visit the property that is convenient for both you and your neighbouring owner.
Step 2: Systematic inspection
- Inspection approach:
- Take clear, well-lit photographs of each area. Make sure to capture details and angles that provide a comprehensive view.
- Take written notes of any existing issues. Be concise but thorough, including measurements where relevant.
- Exterior assessment:
- Begin with the exterior of the property. Note any existing damage, cracks, or defects in walls, windows, roofs, and other structural elements.
- Interior assessment:
- Move indoors and systematically inspect each room. Pay special attention to walls, floors, ceilings, fixtures, and fittings.
Step 3: Documentation
- Produce the document:
- Combine the photos you have taken with your notes into a document. This can be done using word processing software such as Microsoft Word or Google Docs. Once produced, send or show a copy to your neighbour to ensure they are happy that nothing has been missed.
- Date and signatures:
- Once both you and your neighbour are happy with the Schedule of Condition you should both clearly date and sign it to confirm its authenticity.
Step 4: Organise and file
- Store securely:
- Keep the signed Schedule of Condition in a safe place. If possible make an electronic version of the document available to all parties involved in the building project, this can be done via email.
Congratulations! You've successfully created a comprehensive Schedule of Condition. This document will serve as a vital reference point throughout the building process, providing clarity and fairness for all parties involved.
